  GRANT SIGNATURE PROCESS
  All applications (requests) for funding must be signed before submitting to a granting agency. The signatures required vary depending on if the application is for a salary award, and if the grant request is from a PHC researcher holding a UBC appointment or if they are a PHC staff member (non-UBC Faculty).

Faculty Salary Awards

Note: All applications must be signed by the Dean, UBC Faculty of Medicine before submitting to the funding agency.
  1. Complete a Faculty of Medicine Cover Sheet, attach to your original and provide one copy of the following:
    • Front page of the application
    • Signature page (if different)
    • Summary or abstract of research proposal
    • ALL budget pages including justification
    • Any letters of support relating to matching funds or collaborations

  2. Deliver to the Knowledge Cycle Office (Hornby Building Room 1125) for both Dean of Medicine and UBC Office of Research Services signatures (applicants may prefer to take applications to UBC themselves for signatures — drop off applications with copies to Johanna Apostolis, Faculty of Medicine Dean's Office, 317-2194 Health Sciences Mall, UBC )

  3. Allow for 1 week processing time

  4. The applicant/contact for the grant will be phoned to pick up the original

  5. All applicants are responsible for copying and mailing the originals to the granting agency
UBC Faculty submissions to external funders

If the Principal Investigator has a UBC appointment (any kind of appointment including honorary):
  1. Faculty in the first 5 years of their UBC appointment (that don't currently hold peer reviewed funding), who are applying to CIHR's Operating Grant competition or selected CIHR Strategic RFA competitions, need to go through the UBC Internal Review process.

  2. All external research granting agency applications must contain a minimum of 4 signatures. With the exception of the Principle Investigator on the grant, there are various alternates available for some Department Heads, the Associate Dean, and the Director of Research Services signatures.     Complete a UBC Faculty of Medicine Cover Sheet and obtain the Applicant and Department Head/Centre Director's signatures.

  3. Attach the Cover Sheet to your original and provide one copy of the following:
    • Front page of grant application
    • Signature page (if different)
    • Summary or abstract of research proposal
    • ALL budget pages including justification
    • Any letters of support relating to matching funds or collaborations

  4. Deliver to the Knowledge Cycle Office (St. Paul's Hospital, Hornby Building, Room 1125) for Faculty of Medicine/Dean's signature (VP of Research). The UBC Office of Research Services is also required to sign off on your application before it can be submitted — the Knowledge Cycle Office will obtain this signature for you.

  5. Allow for a 48 hour processing time

  6. The applicant/contact for the grant will be phoned to pick up the original

  7. All applicants are responsible for copying and mailing the originals to the Funding Agency
Providence staff (non UBC Faculty) applications to external funders

If the Principal Investigator has no UBC appointment whatsoever, your application needs to have the following signatures:
  1. Applicant Signature

  2. Hospital Department Head Signature

  3. PHC Vice President Research signature, obtained through the Knowledge Cycle Office (St. Paul's Hospital, Hornby Building, Room 1125). Allow for a 48 hour processing time.
